About Security Groups: Actions
Overview
The purpose of a security group is to restrict or limit access to various functions within Simpro Premium based on a user's role in your organisation. For example, the accounts department may not require access to quotes or pre-builds, or you can also limit the value of quotes or purchase orders issued by a particular user or user group.
Security groups are defined in System > Setup > Security Groups.
Select the relevant security group and click Actions to view and manage the security groups that define whether certain actions can be performed in Simpro Premium.
Leads
- Enable: Select Enable to access Leads in the main menu. If Enable is not selected, Leads is not available in the main menu and no other features under Leads can be accessed.
- Create Leads: Select to allow creating new leads from the main menu and to covert quotes and jobs into leads.
- Edit Leads:
- All Leads: Select to allow editing of all existing leads.
- Salesperson or Project Manager only: Select to allow editing of existing leads for which the user is assigned as the salesperson or project manager.
- Convert Leads: Select to allow converting leads into quotes.
- Archive/Delete Leads
- Archive and Delete: Selecting this option allows you to archive leads, so that they remain in Simpro Premium but no longer appear as Open and also to delete leads, so that they are permanently removed from your Simpro Premium build.
- Archive only: Selecting this option allows you to archive leads, so that they remain in Simpro Premium but no longer appear as Open.
- Edit Leads Attachments
- Edit and Delete: Selecting this option allows you to upload attachments, make attachments public or private, organise attachments into folders, allow attachments to be emailed and delete attachments.
- Edit Only: Selecting this option allows you to upload attachments, make attachments public or private, organise attachments into folders, allow attachments to be emailed.
- Upload Only: Selecting this option allows you to upload attachments.
- Manage Lead Folder Templates: Selecting this option allows you to create and delete attachment folder templates for leads. You can also set default attachment folder templates for leads.
- Modify Leads Table View: Selecting this option allows you to modify what appears on the All, Open and Closed / Archived tables for leads. Note that any modification made to these tables is applied for all users accessing the Simpro Premium build.
Quotes
- Enable: Select Enable to access Quotes in the main menu. If Enable is not selected, Quotes is not available in the main menu and no other features under Quotes can be accessed.
- Create Quotes: Select to allow creating new quotes from the main menu and to convert leads and jobs into quotes.
- View/Edit Quotes
- View & edit all quotes: Selecting this option allows you to access and edit all existing quotes.
- View & edit salesperson or project manager quotes. View only all other quotes: Selecting this option allows you to edit existing quotes, that the user is assigned as the salesperson or project manager. View quotes that the user is not the salesperson or project manager.
- View & edit salesperson or project manager only: Selecting this option allows you to edit existing quotes, that the user is assigned as the salesperson or project manager.
- View only all quotes: Selecting this option allows you to view all quotes, but restrict access to edit any quotes.
- View Costs, Markups, Profit and Margins: Selecting this option allows you to restrict access to the Project Overview in quotes and hide the Estimated Breakdown, Material Costs, Resource Costs, Plant & Equipment Cost, Material Markups, Resource Markups, Gross P/L, Gross Margin, Nett P/L and Nett Margin.
- Archive/Delete Quotes
- Archive and Delete: Selecting this option allows you to archive quotes, so that they remain in Simpro Premium but no longer appear in the Open, Progress, Complete or Approved stage and delete quotes, so that they are permanently removed from your Simpro Premium build.
- Archive only: Selecting this option allows you to archive quotes, so that they remain in Simpro Premium but no longer appear in the Open, Progress, Complete or Approved stage.
- Approve Quotes
- All quotes: Selecting this option allows you to approve all quotes.
- Limit: Selecting this option allows you to approve quote up to the entered limit.
- Convert Quotes: Selecting this option allows you to convert quotes to jobs.
- Merge Quotes: Selecting this option allows you to merge multiple quotes together.
- Print/Email Quotes: Selecting this option allows you to access the Forms tab in quotes.
- Confirm before sending email: Selecting this option allows you to display a pop-up confirming whether the email should be sent.
- Change Quote Status: Selecting this option allows you to manually change the status of quotes.
- View Quote Logs: Selecting this option allows you to access the Logs tab in quotes.
- Edit Quote Attachments
- Edit and Delete: Selecting this option allows you to upload attachments to quotes, set quote attachments as public/private, attach quote attachments to emails, rename quote attachments, create quote attachment folders and delete attachments.
- Edit Only: Selecting this option allows you to set quote attachments as public/private, attach them to emails, rename attachments and create folders.
- Upload Only: Selecting this option allows you to upload quote attachments.
- Manage Quote Folder Templates: Selecting this option allows you to create, delete and set attachment templates as default.
- Modify Quotes Table View: Selecting this option allows you to add, remove or rearrange columns in the quotes tables.
- Modify Billable Quotes Table View: Selecting this option allows you to add remove or rearrange columns in the table on the Billable tab of quotes.
Jobs
- Enable: Select Enable to access Jobs in the main menu. If Enable is not selected, Jobs is not available in the main menu and no other features under Jobs can be accessed.
- Create Jobs: Select to allow creating new jobs from the main menu and to convert quotes into jobs. Note that this does not impact importing contacts.
- View/Edit Jobs
- View & edit all jobs: Selecting this option allows you to access and edit all existing jobs.
- View & edit salesperson or project manager jobs. View only all other jobs: Selecting this option allows you to edit existing jobs, that the user is assigned as the salesperson or project manager. View jobs that the user is not the salesperson or project manager.
- Salesperson or Project Manager only: Selecting this option allows you to edit existing jobs, that the user is assigned as the salesperson or project manager.
- View only all jobs: Selecting this option allows you to view all jobs, but restrict access to edit any jobs.
- Lock/Unlock Jobs: Selecting this option allows you to manually lock or unlock jobs.
- Archive/Delete Jobs
- Archive and Delete: Selecting this option allows you to archive jobs, so that they remain in Simpro Premium but no longer appear in the Pending, Progress, Complete or Invoiced stage and delete jobs, so that they are permanently removed from your Simpro Premium build.
- Archive only: Selecting this option allows you to archive jobs, so that they remain in Simpro Premium but no longer appear in the Pending, Progress, Complete or Invoiced stage.
- Change Stage (Pending, In-Progress etc.): Selecting this option allows you to manually change the stage of jobs.
- View Costs, Markups, Profit and Margins: Selecting this option allows you to restrict access to the Project Overview in jobs and hide the Estimated Breakdown, Material Costs, Resource Costs, Plant & Equipment Cost, Material Markups, Resource Markups, Gross P/L, Gross Margin, Nett P/L and Nett Margin.

- Manage Job Folder Templates: Selecting this option allows you to create, delete and set attachment templates as default for jobs.

- Edit Recurring Jobs
- All jobs: Selecting this option allows you to access and edit all recurring jobs.
- Salesperson or Project Manager only: Selecting this option allows you to edit existing jobs, that the user is assigned as the salesperson or project manager.
- Skip/Delete Recurring Job
- Skip and Delete: Selecting this option allows you to skip the creation of recurring jobs when the frequency is due and delete recurring jobs.
- Skip only: Selecting this option allows you to skip the creation of recurring jobs when the frequency is due.
- Edit Contractor Jobs: Selecting this option allows you to access and edit all contractor jobs.
- Edit Contractor Jobs Attachments
- Edit and Delete: Selecting this option allows you to upload attachments to contractor jobs, set job attachments as public/private, attach contractor job attachments to emails, rename job attachments, create contractor job attachment folders and delete attachments.
- Edit Only: Selecting this option allows you to upload attachments to contractor jobs, set job attachments as public/private, attach contractor job attachments to emails, rename attachments and create contractor job attachment folders.
- Upload Only: Selecting this option allows you to upload attachments to contractor jobs.
- Create Contractor Invoices: Selecting this option allows you to create contractor invoices from contractor jobs.
- Archive/Delete Contractor Jobs
- Archive and Delete Contractor Jobs: Selecting this option allows you to archive contractor work orders, so that they remain in Simpro Premium but no longer appear in the Pending, For Review or Complete stage and delete contractor work orders, so that they are permanently removed from your Simpro Premium build.
- Archive only: Selecting this option allows you to archive contractor work orders, so that they remain in Simpro Premium.
- Edit Contractor Invoice Attachments
- Edit and Delete: Selecting this option allows you to upload attachments to contractor jobs, set job attachments as public/private, attach contractor job attachments to emails, rename job attachments, create contractor job attachment folders and delete attachments.

- Manage Accruals & Deferrals: Selecting this option allows you to manage accruals and deferrals in jobs and invoices.
Invoices
- Enable: Select Enable to access Invoices in the main menu. If Enable is not selected, Invoices is not available in the main menu and no other features under Invoices can be accessed.
- Create Invoices & Credit Notes: Selecting this option allows you to create invoices from jobs and credit notes from invoices.
- View/Edit Invoices
- View & edit invoices: Selecting this option allows you to access and edit invoices.
- View only invoices: Selecting this option allows you to access invoices without the ability to edit them.
- Print/Email Invoices & Statements
- Confirm before sending email: Selecting this option allows you to display a pop-up confirming that an invoice or a statement is to be sent.
- Edit Invoice Forms: Selecting this option allows you to modify invoice forms, prior to printing or sending them.
- Delete Invoices: Selecting this option allows you to permanently delete invoices.
- Approve Invoices
- All invoices: Selecting this option allows you to approve all invoices so that they can be emailed to customers and paid.
- Limit: Selecting this option allows you to approve invoices up to the specified value.
- Approve Credit Notes: Selecting this option allows you to approve credit notes so that they can be finalised and email to customers.
- Create Recurring Invoices: Selecting this option allows you to create recurring invoice templates.
- View Recurring Invoice Logs: Selecting this option allows you to view the Log tab within invoice recurring invoices.
- Archive Recurring Invoices: Selecting this option allows you to archive recurring invoice templates.
- Skip/Delete Recurring Invoice
- Skip and Delete Selecting this option allows you to skip the creation of recurring invoices when the frequency is due and delete recurring jobs.
- Skip only: Selecting this option allows you to skip the creation of recurring invoices when the frequency is due.
- Apply Payments: Selecting this option allows you to create payments for invoices.

Orders
- Enable: Selecting this option allows you to access Purchase Order, Supplier Quotes, Receipts and Supplier Credits from the main menu. If Enable is not selected, Orders are not available in the main menu and no other features under Orders can be accessed.
- Create Orders
- Catalogue and Item Orders: Selecting this option allows you to create new catalogue orders and item orders.
- Catalogue Orders: Selecting this option allows you to create new catalogue orders.
- Create Description Orders: Selecting this option allows you to create new description orders.
- Create PO Numbers: Selecting this option allows you to create purchase order numbers.
- Order Items For:
- Jobs & Stock: Selecting this option allows items to be ordered to jobs and stock.
- Jobs: Selecting this option allows items to be ordered to jobs.
- Stock: Selecting this option allows items to be ordered to stock.
- View/Edit Orders
- Edit & View: Selecting this option allows you to access and edit purchase orders, supplier quotes, receipts and supplier credits.
- View Only: Selecting this option allows you to access purchase orders, supplier quotes, receipts and supplier credits.
- Approve Orders

Tasks
- Enable: Selecting this option allows you to bulk select or clear the other security group options for tasks.
- Create Task Templates: Selecting this option allows you to create new task templates from the System Setup.
- Create Task Categories: Selecting this option allows you to create new task categories from the System Setup.
- Create Tasks: Selecting this option allows you to create new tasks.
- Edit Tasks: Selecting this option allows you to edit existing tasks.
- Convert Tasks to Jobs: Selecting this option allows you to convert tasks to jobs.
- Assign Tasks to Quotes / Jobs: Selecting this option allows you to assign a task to a quote or job.
- Delete Tasks: Selecting this option allows you to permanently delete tasks from your Simpro Premium build.
- Modify Tasks Table View: Selecting this option allows you to add, remove or rearrange columns in the tasks table.
Customer Assets
- Enable: Selecting this option allows you to access Customer Assets from the main menu. If Enable is not selected, Customer Assets are not available in the main menu and no other features under Customer Assets can be accessed.
- View Maintenance Planner: Selecting this option allows you to access Maintenance Planner from the main menu. When the Maintenance Planner is first activated this setting is disabled.
- Create Customer Assets: Selecting this option allows you to create new customer assets.
- Edit Customer Assets: Selecting this option allows you to edit existing customer assets.
- Archive/Delete Customer Assets
- Archive and Delete: Selecting this option allows you to archive customer assets, so that they remain in Simpro Premium but no longer appear in sites, and delete assets so that they are permanently removed from your Simpro Premium build.
- Archive only: Selecting this option allows you to archive customer assets, so that they remain in Simpro Premium but no longer appear on sites.
- Transfer Customer Assets: Selecting this option allows you to transfer customer assets from one site to another.
- Asset Builder: Selecting this option allows you to create new asset types from the system setup.
- Add/Remove Service Levels: Selecting this option allows you to add and remove service levels from customer assets.
- Modify Customer Assets Table View: Selecting this option allows you to add, remove or rearrange columns in the customer assets table.
