About Security Groups: Setup
Overview
The purpose of a security group is to restrict or limit access to various functions within Simpro Premium based on a user's role in your organisation. For example, the accounts department may not require access to quotes or pre-builds, or you can also limit the value of quotes or purchase orders issued by a particular user or user group.
Security groups are defined in System > Setup > Security Groups.
The following security groups define whether System Setup can be accessed in Simpro Premium.
Admin
- Enable: Select to allow access to the Admin features. If Admin is not enabled, no other features under Admin can be accessed.
- Create Employees: Select to allow creating new employees.
- Edit Employees: Select to allow editing of existing employees. Allows you to log out other employees and contractors if you also have permission to edit contractors.
- View Employee Pay Rates and Commission: Select to allow access to the Rates tabs in employee cards.
- Manage Employee Account Setup: Select to allow managing account setup, security groups and licences.
- Archive/Delete Employees
- Archive and Delete: Select to allow archiving employees, so that they remain in Simpro Premium but no longer appear in the employee table and deleting employees, so that they are permanently removed from your Simpro Premium build.
- Archive only: Select to allow archiving employees, so that they remain in Simpro Premium but no longer appear in the employee table.
- Modify Employees Table View: Select to allow modifying what appears in the employee table. Note that any modification made to this table is applied for all users accessing the Simpro Premium Build.
- Create Contractors: Select to allow creating new contractors.
- Edit Contractors: Select to allow editing existing contractors. Allows you to log out other contractors and employees if you also have permission to edit contractors.
- Archive/Delete Contractors
- Archive and Delete: Select to allow archiving contractors, so that they remain in Simpro Premium but no longer appear in the contractor table and delete contractors, so that they are permanently removed from your Simpro Premium build.
- Archive only: Select to allow archiving contractors, so that they remain in Simpro Premium but no longer appear in the contractor table.
- Modify Contractor Table View: Selecting to allow modifying what appears on the contractor table. Note that any modification made to this table is applied for all users accessing the Simpro Premium Build.
- Archive/Delete Customer
- Archive and Delete: Select to allow archiving customers, so that they remain in Simpro Premium but no longer appear in the customer table and delete customers, so that they are permanently removed from your Simpro Premium build.
- Archive only: Select to allow archiving customers, so that they remain in Simpro Premium but no longer appear in the customer table.
- Modify Customers Table View: Select to allow modifying what appears on the customer table. Note that any modification made to this table is applied for all users accessing the Simpro Premium Build.
- Edit/Delete Customer, Employee & Contractor Notes
- All Notes: Select to allow editing or deleting all notes, including quote and job activity timeline notes, for customers, employees and contractors.
- Only notes created by user: Select to allow editing or deleting notes you have created, including quote and job activity timeline notes, for customers, employees and contractors.
- Archive/Delete Sites
- Archive and Delete: Select to allow archiving sites, so that they remain in Simpro Premium but no longer appear in the site table and delete sites, so that they are permanently removed from your Simpro Premium build.
- Archive only: Select to allow archiving sites, so that they remain in Simpro Premium but no longer appear in the site table.
- Modify Sites Table View: Select to allow modifying what appears on the site table. Note that any modification made to this table is applied for all users accessing the Simpro Premium Build.
- Archive/Delete Suppliers
- Archive and Delete: Select to allow archiving suppliers, so that they remain in Simpro Premium but no longer appear in the supplier table and deleting suppliers, so that they are permanently removed from your Simpro Premium build.
- Archive only: Select to allow archiving suppliers, so that they remain in Simpro Premium but no longer appear in the supplier table.
- Delete Contacts: Select to allow permanently removing contacts from your Simpro Premium build.
- Modify Suppliers Table View: Select to allow modifying what appears on the supplier table. Note that any modification made to this table is applied for all users accessing the Simpro Premium Build.
- View Customer Rates: Select to allow accessing the Rates tab in customer cards.
- Create Plant & Equipment: Select to allow creating new plant and equipment. Note that this does not impact importing plant and equipment.
- Edit Plant & Equipment: Select to allow editing existing plant and equipment.
- View Plant & Equipment Rates: Select to allow accessing the Rates tab in plant and equipment.
- Service Plant & Equipment: Select to allow adding services to plant and equipment.
- Check In/Out Plant & Equipment: Select to allow checking in or checking out plant and equipment.
- Archive/Delete Plant & Equipment
- Archive and Delete: Select to allow archiving plant and equipment, so that they remain in Simpro Premium but no longer appear in the plant and equipment table and deleting plant and equipment, so that they are permanently removed from your Simpro Premium build.
- Archive only: Select to allow archiving plant and equipment, so that they remain in Simpro Premium but no longer appear in the site table.
- Export Assets: Select to allow exporting complete assets records from Utilities. Note that this does restrict access to download a CSV file of the asset tables.
- Export Catalogues: Select to allow exporting complete catalogue records from Utilities. Note that this does restrict access to download a CSV file of the catalogue tables.
- Export Customers, Suppliers, Employees and Contractors: Select to allow exporting complete customer, supplier, employee and contractor records, contracts and contract service levels from Utilities. Note that any modification made to this table is applied for all users accessing the Simpro Premium Build.
- Export Plant & Equipment: Select to allow exporting complete plant and equipment records from Utilities. Note that this does restrict access to download a CSV file of the plant and equipment tables.
- Export Pre-Builds: Select to allow exporting complete pre-build records from Utilities. Note that this does restrict access to download a CSV file of the pre-build tables.
- Export Sites: Select to allow exporting complete site records from Utilities. Note that this does restrict access to download a CSV file of the site table.
- Import Assets: Select to allow importing assets from Utilities. Note that this does not impact the manual creation of assets.
- Import Catalogue: Select to allow importing catalogues from Utilities. Note that this does not impact the manual creation of catalogue items.
- Import Customers and Contracts: Select to allow importing customers and contracts from Utilities. Note that this does not impact the manual creation of customers.
- Import Plant & Equipment: Select to allow importing plant and equipment from Utilities. Note that this does not impact the manual creation of plant and equipment.
- Import Pre-Builds: Select to allow importing pre-builds from Utilities. Note that this does not impact the manual creation of pre-builds.
- Import Sites: Select to allow importing sites and site contacts from Utilities. Note that this does not impact the manual creation of sites.
- Import Stock: Select to allow importing stock takes and storage locations from Utilities. Note that this does not impact the manual creation of stock takes.
- Import Suppliers: Select to allow importing suppliers from Utilities. Note that this does not impact the manual creation of suppliers.
- Import Employees: Select to allow importing employees from Utilities. Note that this does not impact the manual creation of employees.
- Import Jobs: Select to allow importing jobs from Utilities. Note that this does not impact the manual creation of jobs.
- Import Quotes: Select to allow importing quotes from Utilities. Note that this does not impact the manual creation of quotes.
- Import Leads: Select to allow importing leads from Utilities. Note that this does not impact the manual creation of leads.
- Import Payments: Select to allow importing payments from Utilities. Note that this does not impact the manual creation of payments.
- Import Recurring Invoices: Select to allow importing recurring invoices from Utilities. Note that this does not impact the manual creation of recurring invoices.
- Import Recurring Jobs: Select to allow importing recurring jobs from Utilities. Note that this does not impact the manual creation of recurring jobs.
- Accounting Link: Select to allow access to the accounting link from Utilities, and export financial information to your accounting package.
- VoIP Integration: Select to allow access to the VoIP integration.
- Data Feed: Select to allow access to Data Feed.
- Admin: Allows those with access to Data Feed to create feeds. Ensure to contact Simpro support prior to creating your own feeds.
- IoT: Select to allow access to Simpro IoT.
System
- Enable: Select to allow access to System Setup. If System is not enabled, the System Menu is not visible. Without Enable selected no other features under System can be accessed.
- Update Company Information: Select to allow access to the Company tab under System Setup and updating company information.
- Defaults: Select to allow access to the Defaults tab under System Setup and updating default settings. This includes System, Financial, Schedule, Extensions, Customer Portal and Employee Portal Defaults.
- Mobile Defaults: Select to allow access to the Mobile tab under System Setup and updating settings for Simpro Mobile.
- Labour: Select to allow access to the Labour sub-tab under System Setup and updating and create labour rates.
- Service Fees: Select to allow accessing, creating and updating Service Fees from the Labour sub-tab under System Setup.
- Pricing Tiers: Select to allow accessing, creating and updating Pricing Tiers from the Materials sub-tab under System Setup.
- Commissions: Select to allow accessing, creating and updating Commissions under System Setup.
- Memberships: Select to allow accessing, creating and updating Memberships under System Setup.
- Units of Measurement: Select to allow accessing, creating and updating Units of Measurements from the Materials sub-tab under System Setup.
- Activities: Select to allow accessing, creating and updating Activities under System Setup.
- Accounting Categories: Select to allow accessing, creating and updating Accounting Categories from the Accounts sub-tab under System Setup.
- Business Groups: Select to allow accessing, creating and updating Business Groups from the Accounts sub-tab under System Setup.
- Cost Centres: Select to allow accessing, creating and updating Cost Centres from the Accounts sub-tab under System Setup.
- Customer Groups: Select to allow accessing, creating and updating Customer Groups under System Setup.
- Customer Profiles: Select to allow accessing, creating and updating Customer Profiles under System Setup.
- Status Codes: Select to allow accessing, creating and updating Status Codes and Automatic Triggers under System Setup.
- Response Times: Select to allow accessing, creating and updating Response Times under System Setup.

- Customer Tags: Select to allow accessing, creating and updating Customer Tags from the Tags sub-tab under System Setup.
- Teams: Select to allow accessing, creating and updating Teams under System Setup.
- Zones: Select to allow accessing, creating and updating Zones under System Setup.
- Scripts: Select to allow accessing, creating and updating Scripts under System Setup.
- Email/Form Setup: Select to allow access to the Forms Setup tab under System Setup and updating Email and Form settings. Create Form Builder Templates.
- Plant Builder: Select to allow access to the Plant Builder and create Plant Types under System Setup.
- Security Groups: Select to allow accessing, creating and updating Security Groups and Mobile Security Groups under System Setup. Note that if this is enabled users can modify their own security settings and access any feature in Simpro Premium.
- Prepaid Labour: Select to allow accessing, creating and updating prepaid labour types and prepaid blocks from the Labour sub-tab under System Setup.
- Tax Codes: Select to allow accessing, creating and updating Tax Codes from the Accounts sub-tab under System Setup.
- Schedule Rates: Select to allow accessing, creating and updating Schedule Rates from Accounts sub-tab under System Setup.
- Payment Methods: Select to allow accessing, creating and updating Payment Methods from the Accounts sub-tab under System Setup.
- Payment Terms: Select to allow accessing, creating and updating Payment Terms from the Accounts sub-tab under System Setup.
- Purchasing Stages: Select to allow accessing, creating and updating Purchasing Stages from the Materials sub-tab under System Setup.
- Archive Reasons: Select to allow accessing, creating and updating Archive Reasons from System Setup.
- Fit Times: Select to allow accessing, creating and updating Labour Fit Times from the Labour sub-tab under System Setup.
- Notifications: Select to allow accessing, creating and updating Notifications from System Setup.
- Customer Custom Fields: Select to allow accessing, creating and updating Customer Custom Fields from the Custom Fields sub-tab under System Setup.
- Sites Custom Fields: Select to allow accessing, creating and updating Sites Custom Fields from the Custom Fields sub-tab under System Setup.
- Employee Custom Fields: Select to allow accessing, creating and updating Employee Custom Fields from the Custom Fields sub-tab under System Setup.
- Contractor Custom Fields: Select to allow accessing, creating and updating Contractor Custom Fields from the Custom Fields sub-tab under System Setup.
- Supplier Custom Fields: Select to allow accessing, creating and updating Supplier Custom Fields from the Custom Fields sub-tab under System Setup.

- Invoice Custom Fields: Select to allow accessing, creating and updating Invoice Custom Fields from the Custom Fields sub-tab under System Setup.
- Purchase Order Custom Fields: Select to allow accessing, creating and updating Purchase Order Custom Fields from the Custom Fields sub-tab under System Setup.
- Stock Item Custom Fields: Select to allow accessing, creating and updating Stock Custom Fields from the Custom Fields sub-tab under System Setup.
- Pre-Build Item Custom Fields: Select to allow accessing, creating and updating Pre-Build Custom Fields from the Custom Fields sub-tab under System Setup.
- Task Custom Fields: Select to allow accessing, creating and updating Task Custom Fields from the Custom Fields sub-tab under System Setup.
- Job Card Custom Fields: Select to allow accessing, creating and updating Job Card Custom Fields from the Custom Fields sub-tab under System Setup.
- Contact Custom Fields: Select to allow accessing, creating and updating Contact Custom Fields from the Custom Fields sub-tab under System Setup.
- Company Management: If you use multi-company, navigate between companies, including the template company and allocate employees and contractors to different builds. Allows you to access Licences and acquire more licences if required. Allows you to update auto numbers. Allows you to import payments into multiple companies provided shared invoice numbering is enabled. Company Management and API Applications are required to access API options including Documentation, Applications, Webhook Subscriptions, and Webhook Logs in a Multi-company build.
- Change Invoice Auto Number: If Shared Invoice Numbering is displayed in a Multi-company build, this provides access to update the auto number for invoices in each individual company. Note that all other auto numbers are controlled by the Company Management security group.
- Currencies: Select to allow accessing, adding and updating Currencies under System Setup.
- API Applications: Select to allow access to the API sub-tab under System Setup. Access API Documentation, create API Applications and create Webhook Subscriptions.
- Database Backups: Select to allow access to Backups from Utilities under the main menu. Create Backups and revert your Simpro Premium build to backups.
- Two-Factor Authentication: Select to allow enabling or disabling Two-Factor Authentication.
- Edit Chart of Accounts: Select to allow accessing, creating and updating Accounts from the Accounts sub-tab under System Setup.
- Integrations: Select to allow enabling or disabling Honeywell or SFG20 integration with Simpro Premium.
