About Security Groups: People
Overview
The purpose of a security group is to restrict or limit access to various functions within Simpro Premium based on a user's role in your organisation. For example, the accounts department may not require access to quotes or pre-builds, or you can also limit the value of quotes or purchase orders issued by a particular user or user group.
Security groups are defined in System
> Setup > Security Groups.
The following security groups define whether System Setup can be accessed in Simpro Premium.
Customers
- View Customers: Select to allow seeing customer records.
- List Page + Details Page: Select to view both the customer list page and customer card details. This option cannot be disabled if any of the following customer permissions are active: Edit and View Rates.
- List Page Only: Select to view only the customer list page.
View Customers permissions cannot be disabled if any of the following customer permissions are active: Create, Edit, Archive/Delete, Merge, View Rates, and Modify Table View.
- Create Customers: Select to allow creating new customers. Note that this does not impact importing customers.
- Edit Customers:
- Details and On Stop: Select to allow editing of existing customers and put them on/off stop.
- Details Only: Select to allow editing of existing customers.
- Archive/Delete Customers:
- Archive and Delete: Select to allow archiving and deleting customers.
- Archive Only: Select to allow archiving customers.
- Merge Customers: Select to allow merging of customers.
- View Customer Rates: Select to allow accessing the Rates tab in customer cards.
- Customer Notes:
- All Notes: Select to allow editing or deleting all customer notes.
- When you select All Notes, you’ll see two Permissions options:
- View Customer Notes: Select to allow viewing customer notes. This is enabled by default. Note that you can edit/delete the customer notes you have created.
- Edit/Delete Customer Notes: Select to allow editing or deleting customer notes.
- Only Notes Created by User: Select to allow editing or deleting notes you have created for customers.
- No Access: Select to restrict access to customer notes.
- Modify Customers Table View: Select to allow customising the column headers viewed in the table.
Sites
- Create Sites: Select to allow creating new sites. Note that this does not impact importing sites.
- Edit Sites: Select to allow editing of existing sites.
- Archive/Delete Sites:
- Archive and Delete: Select to allow archiving and deleting sites.
- Archive Only: Select to allow archiving sites.
- Modify Sites Table View: Select to allow customising the column headers viewed in the table.
Suppliers
- Create Suppliers: Select to allow creating new suppliers. Note that this does not impact importing suppliers.
- Edit Suppliers: Select to allow editing of existing suppliers.
- Archive/Delete Suppliers:
- Archive and Delete: Select to allow archiving and deleting suppliers.
- Archive Only: Select to allow archiving suppliers.
- Modify Suppliers Table View: Select to allow customising the column headers viewed in the table.
Contacts
- Create Contacts: Select to allow creating new contacts. Note that this does not impact importing contacts.
- Edit Contacts: Select to allow editing of existing contacts.
- Delete Contacts: Select to allow permanently removing contacts from your Simpro Premium build.
Employees
- Create Employees: Select to allow creating new employees.
- Edit Employees: Select to allow editing of existing employees and to log out other employees.
- Archive/Delete Employees
- Archive and Delete: Select to allow archiving and to delete employees.
- Archive only: Select to allow archiving employees.
- View Employee Pay Rates and Commission: Select to allow accessing to the Rates tab in employee cards.
- Edit/Delete Employee Notes
- All Notes: Select to allow editing or deleting all employee notes.
- Only notes created by User: Select to allow editing or deleting employee notes you have created.
- Modify Employee Table View: Select to allow customising the column headers viewed in the table.
- Manage Employee Account Setup: Select to allow managing account setup, security groups and licences.
Contractors
- Create Contractors: Select to allow creating new contractors.
- Edit Contractors: Select to allow editing existing contractors. Allows you to log out other contractors and employees if you also have permission to edit contractors.
- Archive/Delete Contractors
- Archive and Delete: Select to allow archiving contractors, so that they remain in Simpro Premium but no longer appear in the contractor table and delete contractors, so that they are permanently removed from your Simpro Premium build.
- Archive only: Select to allow archiving contractors, so that they remain in Simpro Premium but no longer appear in the contractor table.
- Modify Contractor Table View: Selecting to allow modifying what appears on the contractor table. Note that any modification made to this table is applied for all users accessing the Simpro Premium Build.
When you archive Customers, Sites, Suppliers, Employees, or Contractors, they remain in Simpro Premium under Archive status but no longer appear in their respective tables. When you delete them, they are permanently removed from your Simpro Premium build.
