Routine Maintenance Performance Report - UK, IE Only
Overview
Instead of manually keeping a record of successfully performed maintenance within a three month window, use the Routine Maintenance Performance report to measure if you have met maintenance due dates. This report allows you to gauge your maintenance performance over a twelve month period. It may be suitable to report your company's compliance to the relevant regulatory safety monitoring / measuring company such as the NSI or SSIAB.
In order to view content or perform actions referred to in this article you need to have the appropriate permissions enabled in your security group. Go to System > Setup > Security Groups and access your security group to update your permissions. The relevant security group tab and specific permissions for this article can be found here:
To run the report:
- Go to Reports > View Reports.
- Click Maintenance > Routine Maintenance Performance.
- Select a Year and Month.
- Select other filters such as Asset Type(s), Customer, Site, and Zone as required.
- Select job tags to exclude from a report.
- This allows you to exclude jobs that might not have been completed due factors such as limited site access or a hold placed on a maintenance contract.
- Use the Type filter to define the format of the report.
- Summary: View a grid report showing totals per months.
- Breakdown: View all jobs included in the report sorted by date complete.
- Click Search.
The report Summary includes the following information:
Due in Month |
The number of jobs created with the Maintenance Planner that were due to be completed in this month. This is defined by the Due Date in the Settings tab of each job. When a job is created from Maintenance Planner, the Due Date defaults to the asset's Service Date. Learn more about service levels in How to Create Service Levels. |
Done on Time |
The number of jobs that were completed either in the month the job was due date, or the month preceding the due date, or the month following the due date. This is defined by the Due Date and the Completed Date in the Settings tab of each job. The Completed Date is selected when the job is moved into the Completed Stage, which can be done automatically using automatic triggers. Outside Time |
The number of jobs that failed to be completed within the three month period surrounding the due date. This is defined by the Completed Date in the Settings tab of each job. |
Incomplete |
The number of jobs that are yet to be completed that are due that month. This is defined by the Due Date and the Completed Date on the Settings tab of each job. The Completed Date is selected when the job is moved into the Complete stage, which can be done automatically using automatic triggers. Performance % | The percentage of jobs that have successfully been completed within the three month period surrounding their due date. |
Rolling 12 Month Performance | The cumulative percentage of jobs that have been successfully completed within their due date. |
The report Breakdown includes the following information:
Job | Click the job number to open the job. |
Status | The job status. Hover over the coloured dot to see the name of the status. |
Created Date | The date the job was created. |
Customer | The name of the customer on the job. |
Site | The name of the site on the job. |
Project Tag(s) | Any project tags assigned to the job. |
Due Date |
The date the job is due to be complete. When a job is created from Maintenance Planner, the Due Date defaults to the asset's Service Date. Learn more about service levels in How to Create Service Levels. |
Completed Date |
The date the job was completed. Note that the Completed Date is selected when the job is moved into the Completed Stage, which can be done automatically using automatic triggers. Learn more about automatic triggers in Status Codes and Automatic Triggers. |
You can download the information in the report as a spreadsheet in CSV format, viewable in Microsoft Excel and other spreadsheet software.
To download the report:
- Generate the report as required.
- Click the icon in the top right, then click CSV.
- View, print or save the CSV, as required.
