Set Up Your Workflow

Overview

Use Simpro Premium to improve your workflow efficiency.

Control what features and functions your staff has access to, and set up leads, quotes and jobs to automatically move between statuses and stages when certain actions are performed. You can also use archive reasons to keep track of job opportunities that are lost. Other settings that influence your workflow efficiency can be found in Set Up Defaults.

Security groups

Security groups control who can view and make changes to different areas of Simpro Premium. You can limit your employees' access based on their roles.

This is particularly important for your approval workflow, because you can decide who is able to approve quotes, job cards, invoices and purchase orders.

Status codes

Leads, quotes, jobs, invoices, and purchase orders have status codes according to their position in your workflow. The system has predefined trigger points, and as you perform certain actions - such as emailing a quote - you pass one of these trigger points, triggering a change in the quote's status code and colour. You can visually see your projects progressing as they are updated by technicians in the field and office staff.

Archive reasons

If you set up archive reasons, when you archive a lead, quote or job in Simpro Premium, you are prompted to select the reason why. By creating standard archive reasons to select from, such as 'Lost to competitor' or 'Response time too slow', you can easily create reports on archived leads, quotes or jobs to analyse why your company might not be following through with certain opportunities.
