How to Restock a Storage Device
Overview
When you are running low in stock in a storage device A location / vehicle / building where stock (US: inventory) is stored., restock either with a purchase order or by transferring items from another storage device. If you want to receive alerts when you need to restock, you need to set up minimum levels When an item in stock (US: inventory) falls below this level, you will receive an alert to restock it. and restock levels The number of items to order to restock an item when it falls below its minimum stock level. for each item in a storage device to receive alerts when you need to restock.
In order to view content or perform actions referred to in this article you need to have the appropriate permissions enabled in your security group. Go to System > Setup > Security Groups and access your security group to update your permissions. The relevant security group tab and specific permissions for this article can be found here:

Create purchase orders from within a storage device to order the required stock.
To restock from a purchase order:
- Go to Materials > Stock.
- Click the storage device you wish to restock.
- Click Restock.
- From the drop-down list, select Purchase Order.
- Click Restock.
- A new purchase order is created. The order automatically has the relevant storage device selected and be assigned to stock.
- If you have restock levels set up in your storage device, the required items are already on the purchase order along in the required quantities. If you do not have restock levels set up, the quantity is derived from the minimum level.
- If required, approve the purchase order. You need the correct security group permissions to approve a purchase order. Learn more in How to Set Up Security Groups.
- Send the purchase order as normal.
After the purchase order is created, the ordered items display in the storage device in the On Order column. When the purchase order is receipted and the items received, your storage device is updated with the correct stock levels.
When you are restocking large amounts of items, you may wish to compare pricing before ordering. To do this, restock from a supplier quote.
To restock from a supplier quote:
- Go to Materials > Stock.
- Click the storage device you wish to restock.
- Click Restock.
- From the drop-down list, select Supplier Quote.
- Click Restock.
- A new supplier quote is created with the relevant items.
- If you have restock levels set up in your storage device, the items already have the required quantities. If you do not have restock levels set up, the quantity is derived from the minimum level.
- Continue creating the supplier quote as normal. Learn more in How to Create a Supplier Quote.
After the supplier quote is created, the ordered items display in the storage device in the On Order column. When the purchase order is receipted and the items received, your storage device is updated with the correct stock levels.
If you have the required items available in another storage device, you can transfer items from one storage device to the other. Learn more in How to Transfer Stock.
To restock from another storage device:
- Go to Materials > Stock.
- Click the storage device you wish to restock. Ensure that you have another storage device that has the required items.
- Click Restock.
- From the drop-down list, select the storage device that has the required items in stock.
- Click Restock.

To receive alerts when your stock levels are low, you need to set up minimum levels and restock levels for the items in your storage devices. You can set these levels from the storage devices or individual catalogue items.

You can manage storage locations and stock levels for specific items from within the catalogue.
- Open the relevant catalogue item and click the Stock tab.
- All your storage devices, including the default storage device are displayed under Stock Levels & Locations. Note that the default storage device is indicated with a star icon.
- The current quantity of the item in stock is displayed in the In Stock column.
- The quantity that is waiting to be received into the stock is displayed in the On Order column.
- Enter the Storage Location of the selected item within the storage device. This helps easily locate the item on the stock take and picking slip forms.
- Set the Minimum Stock Level to receive an alert when the In Stock quantity decreases below this value.
- If the minimum stock level is previously set for the selected item, the corresponding value is auto-populated.
- Set the Restock Level to populate your restock order with the required quantity.
- If the restock level is previously set for the selected item, the corresponding value is auto-populated.
- Click Save and Finish.
